What documents will I need to hire a van from you?
Driver: A full UK driver's licence held for a minimum of 2 years. If you have the new 2-part photocard licence, we must see both the paper counterpart, which shows the endorsements and vehicle categories, as well as the photocard. If you have the old paper licence we will require your valid passport as photo ID. From June 2015 you will need to supply a DVLA Check Code or pay WVC to do a telephone check for you.
Person who is paying: 2 proofs of identification (must be dated within the last 3 months), e.g. – Valid UK passport, bank statement, utility bill or a council tax statement. Payment to be made on the day by a credit or debit card.
What is your minimum rental?
Our minimum rental period is 24 hours.
Do you take a deposit?
We do not require a deposit for your hire. However payments must be paid on a credit or debit card.
What is my Excess if I have an accident or damage the Vehicle?
Your Excess is £500.
Can I pay a waiver to reduce the excess from £500?
Yes, we offer a Collision Damage Waiver (CDW) which is £15 per 24hrs or £75 per week which reduces the excess down to £100.
Can I open an account with WVC to pay monthly?
We are currently not opening accounts, however if you are going to be hiring from us on a regular basis, please speak to a hire clerk at our Heathrow branch.
Are you open on a Sunday?
Yes, we are open 7 days a week - Our opening times are:
- Monday – Friday 08:30 until 17:30
- Saturdays: 08.30 until 14.30
- Sundays: 09.00 until 12.00
- Bank Holidays: 09.00 until 14.30
We are closed on Christmas Day, Boxing Day and New Year's Day.
What are your fuel policies? Is the tank full on collection?
We do not have fuel pumps on site or the capability to refill before every hire; therefore customers are expected to return the vehicle with the same amount of fuel in the tank as when the vehicle was first picked up. E.g. if the vehicle is picked up and has half a tank of fuel then it is to returned with half a tank or the hirer will be charged.
Any costs associated with using the wrong fuel is not covered by the insurance.
Do you have age restrictions to hire a van or truck?
Yes, those who wish to hire a van up to a 3.5 ton (Luton) must be aged between 21 – 75 years old. Those who wish to hire a minibus or a lorry must be aged between 25 – 65 years old, please check with us that you have the correct vehicle entitlement for the vehicle you wish to hire.

What if I have points on my licence?
We can hire to drivers with upto 2x 3 points without referral. Any drivers with over 2x 3 points will need referring, this may affect the insurance excess chargeable in the event of damage or an accident. This will need to be approved at least 24hrs prior to hire Mon-Fri. If hiring over the weekend, this will need to be approved by 4pm on Friday
Can I take the vehicle to Europe?
Yes, we specialise in European hire. However, this will need to be declared in advance as rates will need to be charged accordingly. We will issue you with a BVRLA Vehicle on Hire Certificate for use on the continent. However, you will need to research and satisfy the local driving regulations such as the requirement to carry a fire extinguisher, warning triangle, hi-vis vests, spare bulbs and apply beam converters to the head lamps.
What is covered by the insurance?
The insurance cover we provide is a comprehensive insurance policy which means that damage to a third party is covered as well as damage to WVC vehicles by yourself or by a third party. The insurance does not cover windscreen damage, tyres or aerials. Nor does it cover your personal or commercial content or any other items that you are using the van to transport.
Can I include another person on the insurance to drive the vehicle?
More than one person can be included to drive the vehicle; however, there is a £7.50 +vat per day fee for each additional driver. They will need to provide a valid UK drivers licence with photo ID and meet all of our other requirements such as age restrictions and limits on driving convictions.
What if the vehicle is damaged?
You are liable for all damage to the vehicle. If the damage was caused by a third party we will attempt to claim off of them, but if that is not possible, for example, it was your fault; you are fully liable for all damage up to the amount detailed in your excess policy. For small items we might only charge for a replacement part, such as the replacement of a wing mirror and carry out the installation ourselves; however there is no cover for overhead damage for which the hirer is fully responsible.
What if I bring the vehicle back late?
Vehicle hire runs for 24 hours. If you pick the vehicle up at 11.00, the return time is 11.00. Each rental has one hours grace time (with prior arrangement), after this you will be charged a late return charge (for up to four hours) thereafter an additional day hire will need to be paid.
Am I responsible for the maintenance of the engine etc.?
Usually this is not a requirement if you are only hiring a vehicle for a short period of time, but under certain circumstances such as weekly hire where the van is in constant use the driver will be responsible for the care of the engine as well as tyres and other mechanical components involved. You are responsible for checking oil and water levels etc and topping up where required.
Do I need to clean the vehicle before I return it?
Please return the vehicle in the same condition in which you have hired it.
What happens in the event of a breakdown?
In the event of a breakdown please call 07771 902799, this number is also located on the back of your tax disc.
For your peace of mind WVC maintain a 24-hour emergency telephone service. Please note that we have to pay all call out charges, therefore if the breakdown service is called out for an unacceptable reason or a driver error then the hirer will be charged the full service costs.
Can I return my vehicle out of hours?
Unfortunately WVC do not offer an out of hours return service, all vehicles must be returned during our opening hours.
